Administrative and Executive Assistant

 

Reports to:

Events and Building Manager and Executive Director

 

Summary of essential job functions:

 

Administrative Duties—50% of time—under direction of Events and Building Manager:

  • Welcome and direct all visitors to the Lyceum. Answer general questions about the operations of the building.
  • Open and distribute mail.
  • Update the lobby monitor with daily events
  • Utilize the phone and voice mail system, including offering technical support on the system to staff when needed. Answer and direct incoming phone calls for the Partnership for Strong Communities, Gallo & Robinson. and The Lyceum Resource and Conference Center
  • Prepare designated conference spaces for meetings. Preparation to include food & beverage orders, computer and video/teleconference set-up.  Clean area following meetings
  • Staff registration table for Partnership for Strong Communities sponsored events
  • Assist conference center manager with the booking of events, accepting payments, data entry and handling client needs
  • Organize, track need for and order office supplies.
  • Maintain the cleanliness of the department kitchen
  • As availability allows, provide clerical support to the staff of the Partnership for Strong Communities, including but not limited to:

-Mailings utilizing the Microsoft Mail Merge function-Data entry into database system (CongressPlus and Salesforce)

-Emailing, Filing, Copying, Mailing, Faxing

-Write simple correspondence

-Basic web-based research for contact information-Prepare materials for meetings

  • Work with other staff to update web content as needed.
  • Create or update workflow/process documents for administrative tasks

Executive Assistant Duties—50% of time—under direction of Executive Director:

  • Manage the Executive Director’s calendar providing overall organization to the day
  • Screen incoming calls, meeting requests and correspondence and respond professionally and assertively as appropriate
  • Organize, prioritize and appropriately handle documents including sensitive, confidential information, ensuring those items with action required are addressed in a timely manner
  • Schedule and staff Board of Directors’ meetings; assemble and distribute agendas/minutes and appropriate documentation, schedule food and beverage deliveries
  • Transcribe and distribute agendas, materials and minutes for staff meetings, document resolutions as needed for on-going team assignments
  • Schedule and confirm meetings with policymakers and community stakeholders as requested by the Executive Director
  • Provide administrative support for organization events, including managing registrations, preparing event materials and coordinating logistics
  • Prepare and send email distributions to stakeholders as requested
  • Policy and research work commensurate with background, ability and interest.
  • Perform miscellaneous functions including: receiving visitors, scheduling meetings, preparing equipment for presentations
  • Additional administrative projects as assigned

Requirements

  • Personal qualities of integrity, credibility, and commitment to the mission of Partnership for Strong Communities.
  • Proficiency in Microsoft Office Products (Word, Excel, Outlook, PowerPoint).
  • Demonstrated prior experience in an office environment.
  • Superior organizational skills, with high attention to detail and the ability to prioritize workload.
  • Professional demeanor and attitude
  • Strong interpersonal, verbal and written communication skills
  • Ability to welcome change and work collegially in a dynamic team environment with a high level of flexibility
  • Ability to support multiple tasks at one time
  • Experience in supporting senior level management a plus, but not necessarily required. 
  • Prior experience with database programs, CRMs or email marketing platforms a plus.
